If so, the British Embassy in Tunis is looking to recruit a full-time Executive Assistant to join its dynamic and busy team The successful candidate will play an important role, working collaboratively with the Ambassador and his Deputy to provide effective, efficient, timely and consistent administrative support.

MAIN RESPONSIBILITIES OF THE JOB

  • Provides executive administration support to the Ambassador including fielding telephone calls, diary coordination, travel arrangements, and administration for visitors.
  • Filters, Structures and manages information flow to Ambassador and his Deputy. Provides front office service for both.
  • Close coordination with government offices {President, Prime Minister, Speakers, Ministers, MPs) and other senior contacts such as , Ambassadors, Advisors, NGOs etc. Main point of contact for Ministry of Foreign Affiares and the liaison point for meetings and calls on and by Ambassador and Deputy and Embassy visitors. Prepares documentation for Tunisian authorities.
  • Attends Embassy meetings, takes minutes and sets out action points for staff concerned and ensures timely delivery
  • Liaises closely with Embassy departments for all official events hosted at HMA Residence and Embassy
  • Provides back up to the Embassy IT Support Officer
  • Maintains records of gifts received by HMA/DHM
  • Event sponsorship liaison officer

SKILLS REQUIRED

  • Strong organisational capacities.
  • Excellent IT literacy, especially Outlook & Advanced Word
  • Clear communicator with professional telephone manner and proven customer service skills who is at ease with a wide range of contacts including Ministers and senior government officials
  • Must speak English, French & Arabic
  • Ability to work flexibly and as a team player in multi-cultural environment
  • Ability to sift and digest information and the confidence to solve problems flexibly and effectively, under pressure.

WORKING HOURS AND RENUMERATION
Conditioned working hours are 40 hours per week. Standard working hours are from 08:00 am to 16:30 pm from Monday to Thursday. 08:00 – 13:00 on Fridays although the successful candidate will be prepared to work flexibly if required.

The gross monthly starting salary offered is 2000 TND. This will increase after satisfactory completion of the probationary period. Full job-related training will be provided and as the Embassy actively promotes personal development further learning and development opportunities will be available.

The successful candidate will undergo security vetting procedures and confirmation of the position will be dependent upon security clearance. At least 2 professional and character references must be supplied with the application.
